We use Bettercloud currently and have used it for years to facilitate offboarding and deprovisioning of G-Suite user accounts. We use it to setup auto-replies, and inheritance of the off-boarded user's Google products (Drive, Groups, Calendars) to another user. We do not use it for onboarding: we use an on-prem app to create users and sync that information to G-Suite, Azure, and local AD. That information appears in Bettercloud automatically as it syncs with our domain.<br><br>We are trying to use Bettercloud to automate on/offboarding of new hires/terminations, but Betterclouds integration with Workday does not include the ability to create a username/email address in the very common first initial, lastname @ domain.com. This is a very frustrating situation because we want HR to be able to dictate who is and isn't an active user based on their employment status. This means Workday would be the source of truth in terms of "should a user have access to company services/data," while not necessarily being the source of truth for "what does this specific user have access to?" We can handle that with titles from Workday and security groups from Azure. It's kind of ridiculous that the Workday integration can't create a user based on the first initial when the first name string exists. This seems like a simple engineering change to the integration that Bettercloud has little interest in doing. It's also surprising that other clients have no asked for this because it means the clients are doing more work to stick to years-long and firmly established naming convention for hires.
  • Deprovisioning users (auto-replies for terminated users, suspension and reminders for final deletion)
  • Handling object ownership (calendars, email delegation, etc.)
  • Automated workflow integrations (more data points should be available, if the API of the service accessed is the limit, then the engineers should be able to modify data pulled from the API in a way the helps the client in Bettercloud's interface)
  • Ownership for calendars can be very buggy--inheritance, especially of private calendars that need to be managed by multiple people, does not always go through despite confirmation from the web UI. Sometimes we will have calendars that show a certain user has access, but they do not. Removing that user and re-adding them, occasionally multiple times, has to be done to fix the issue. Though I am unsure if this is an issue with Bettercloud, G-Suite, or a lag time in syncing calendar membership data. That said, the interface for managing such access is much better in Bettercloud than in G-Suite itself.
The manual deprovisioning and permissions management Bettercloud provides is really good. The state of workflow automations however is not where it needs to be, particularly if we can't use those workflows to automate user creation using not just our default username/email convention, but one that is very common across most organizations.

We integrate Bettercloud with Google for use in onboarding and offboarding accounts. It is utilized for group movement in Google via work flow mmanagement. We have used it to automate and save thousands of hours of manual user processing. Within education both staff and studnets move schools and change not only their location but also email groups, calendar shares, document shares, etc. THe workflows allow us to automate this function.

  • More onsite visits with customers if available, to be onsite and see what challenges are available first hand.
Automation of the adding and removing of accounts from Google groups is our biggest time and resource saver. This runs constantly. Additionally, the workflows allow us to tailor email messsages to supervisors or users to provide information about the process that has occurred and give them links to additional information. All automated.

Well suited for automating the onboarding of Google Workspace user accounts. The enablement of "workflows" allows for triggering the automatic run of basic tasks such as assigning a license or emailing the new user.

Less appropriate for managing shared external contacts in the Google Workspace environment. THis feature was available but is no longer an option.

Bettercloud is great for folks who need more management features for their cloud tools. It has a ton of great GSuite tools that are typically only available via the api (Delegation is the big one).

I think it is a great tool to assist your IT team manage their cloud tools. Helps you do a lot of GSuite functions in the background that are normally locked behind api calls. It is an expensive platform the more users you have so keep that in mind.

Currently, BetterCloud is being used by our IT teams to automate onboarding and offboarding procedures and to kick off other one-off automation that makes things easier for the team. Using the built-in integrations for Slack, Salesforce, Google Workspace, Zoom, DUO, Offce 365, our IT team is able to seamlessly onboard classes of 30+ new hires. Using those same integrations, they are able to securely offboard terminated employees and send notifications to all relevant stakeholders that the process has been completed.
It is also being utilized by our security team to implement DLP security policies in place for Drive, Slack, Microsoft Office, and to set up alerting around a particular security events.

  • Control and visibility over document sharing in many popular apps
  • Granual automation for Salesforce user profiles, roles and permission sets
  • Exploring and finding workflows is not always easy, search tool could use some work
  • DLP controls for Google are on a different website than the main app
  • Reporting when automations fail can be improved.
Despite the cons, I would still recommend BetterCloud 100%. Overall the tool is easy to use, has saved us SO much time, and they continue to improve their product and constantly adds new and really useful features. Their support team is excellent, and their knowledge base is extremely useful. My experience with customer management has always been excellent, and their team always goes above and beyond to help us find solutions to our needs. While using BetterCloud involves putting in a lot of work upfront, the results are completely worth it, and the time saved for your team is priceless. If you are using Google Workspace as your primary, I would recommend using BetterCloud with it without question.

BetterCloud is many things to our organisation. It started as a G Suite management tool that allowed us to perform bulk actions and easily carry out complicated management tasks. Then, it added data protection features like content scanning and automated reporting. Then, it became a SaaS management platform that allowed us to connect other systems to G Suite and automate management tasks based on key triggers.
  • Automated and bulk administration tools allow admins to spend less time managing based on signals and more time working on important new things.
  • Drive reporting allows for content-based scanning of G Suite Google Drive to empower admins.
  • SaaS automation not only allows admins to build workflows and carry out actions in multiple pre-connected systems, but also allows admins to connect systems via API. It's very extensible.
  • The interface can be quite cluttered depending on what you want to do. There are a lot of tools.
  • Documentation can be improved. The written documentation for workflows and API are a little tough to follow.
BetterCoud is excellent at creating automated workflows for common and complicated administrative tasks. Mail delegation, bulk group edits, contact sharing, mobile syncing, app black and white listing, and other things are excellent applications of BetterCloud.

In the case where pro-active data is needed to automatically prevent issues, BetterCcloud isn't as appropriate. It would seem that BetterCloud crosses over much with G Suite, but there are still functions better left to the Google tools.

Our IT department uses BetterCloud to manage G Suite administration and security better than is possible using the G Suite Admin console. We also have integrated other apps using their “connectors” and most recently have used their Platform API to connect additional SaaS applications. Our everyday use case is for onboarding, offboarding, and real-time alerts. Bettercloud saves anywhere from 5-35 hours of labor per month using workflows and also enables us to “level-up in our work to secure a fully SaaS infrastructure.
  • Customer service: from answering questions about how it works to supporting when things go wrong, and more, the Bettercloud team is among the best vendors in this area.
  • Forward-thinking: new services, new actions, new capability. Bettercloud thinks ahead and doesn’t hesitate to anticipate the needs of businesses today and tomorrow
  • Comprehensive: from simple admin tasks to granular roles and privileges, to deep data scanning, Bettercloud does pretty much everything you’ve thought of and only a few things you haven’t.
  • Pricing: Bettercloud is often positioned in the market against SIEM, CASBs, and other enterprise software. Pricing has recently started to reflect that, which means it’s practically inaccessible at list price for organizations who need it most - schools, nonprofits, etc.
  • Useability: as a service with so much depth, it can take weeks to get an organization fully configured, and similar amounts of time for new employees to get familiar with it.
Well suited for organizations with a deep SaaS structure, those who are looking to automate menial admin tasks and those looking for more capability and visibility into their environment. Personally, I feel it’s better suited to managing G Suite than Microsoft, but that’s because that’s my environment. I would say it’s also good for complicated environments, like multiple instances of applications or lesser known apps that have APIs capabilities but limited integrations. Not good for organizations that don’t have the time or ability to negotiate pricing or those with high levels of bureaucracy and not a lot of already set policies—decisions will have to be made and not being able to make them during implementation will slow things down considerably.
